How we use coding
Rho can now automatically sync the invoices you create in Rho to your accounting software, so your accounts receivable stays up to date without manual intervention. When an invoice is sent and when its payment is received, Rho pushes the matching records to your books for you.
Available for QuickBooks Online only. Invoice syncing is currently supported only for accounts connected through Rho's QuickBooks Online integration. It is not yet available for other accounting integrations. Support for additional platforms is on the roadmap.
How it works
Once invoice syncing is enabled, Rho keeps QuickBooks in step with the full invoice lifecycle automatically. If an Invoice is updated or deleted, there is nothing needed from you. Rho syncs after each step, so you don’t need to re-enter invoice data in QuickBooks.
When you send an invoice from Rho, Rho automatically creates the corresponding invoice in QuickBooks Online, including the customer, line items, amounts, and due date. When the customer pays that invoice, Rho matches the payment to the invoice, and then you sync the payment into QuickBooks. When both the invoice and its payment sync, your accounts receivable's balance in QuickBooks is updated to reflect what's happening in Rho without any reconciliation guesswork.
Invoice syncing happens automatically in the background. Customers, invoices, and payments are matched to the correct records in QuickBooks, so you avoid duplicates and keep your ledger clean.
Setting it up
Invoice syncing is managed from your accounting integration settings:
Go to Accounting (or Settings → Integrations) in Rho.
Make sure your QuickBooks Online integration is connected. If you haven't connected QuickBooks yet, follow the steps in How to set up Rho's QuickBooks Integration first.
Open your Accounting settings and enable the toggle to Sync invoices and customers to QuickBooks.
Set up your Default Accounts Receivable Ledger. Without this, we won’t know where to sync your invoices.
Once enabled, any invoices you send from Rho will sync on a go-forward basis. We’ll also sync all of your existing invoices to help get you up to speed. Though you’ll have to manually sync the invoice payment or include invoice transactions in your automated syncs.
What syncs
Rho syncs the following from your Rho invoices to QuickBooks Online:
The invoice itself when it is sent, including customer details, line items, amounts, and due date
The payment when it is received, applied against the matching invoice
Status updates across the invoice's lifecycle, so that open and paid balances stay current
Troubleshooting
If an invoice or payment doesn't appear in QuickBooks as expected:
Confirm your QuickBooks Online integration is still connected and the connection hasn't expired in the Integrations page.
Verify that invoice syncing is still enabled in your Accounting settings.
Check that the customer on the invoice matches a valid customer in QuickBooks.
