How To Create And Manage Vendor Cards With Rho

Rho offers more than just employee cards—you can also set up dedicated Vendor Cards. These cards are designed specifically for vendor payments, making it simple to keep your business spend organized. Creating a Vendor Card You can create Vendor Cards individually or in bulk, depending on your needs, with just a few clicks: From the Cards Tab Navigate to the Cards Tab from the navigation. Select Create Card, then choose Vendor Card. On the setup screen: Select your Vendor : Select an existing vendor from the list, or type a new name to create one automatically when the card is created. Configure Settings : Adjust International spend (ON by default), and optional spend controls like merchant restrictions and usage date s. Click Create Card , and you will see a confirmation that your card has been created. From the Vendors Tab In addition to creating vendor cards through the Cards tab, you can now create a single-use vendor card directly from the vendor creation flow: Navigate to Vendors > Click Add Vendor Complete the vendor details as needed Under the Payment Account dropdown, select Single-use vendor card Finish creating the vendor Once selected, a single-use vendor card will be automatically created and linked to that vendor. Note: When creating a card through the Cards flow, you can choose between different card limit types. However, when creating a card through the Vendor creation flow, you are limited to a single-use vendor card only. Bulk Create Vendor Cards via CSV Need to issue multiple Vendor Cards at once? You can do so quickly by uploading a CSV file. When you upload your CSV: Rho will automatically create the corresponding Vendor Cards . If a listed vendor does not already exist, Rho will automatically create the vendor as part of the process. To get started, navigate to the Cards Tab , select Create New Card → Bulk Create Cards to upload your CSV file. Note : Vendor cards are currently a web-only feature, so they won’t appear in the mobile app. At present, the mobile app will display only cards of the users on the account, and new cards can only be created for those same users. Completing Setup On the confirmation page, you have a few options: Return to your Cards dashboard or View the Card Switch subscription Share card details via email (defaults to the cardholder, but you can change to the desired email address) Upon selecting the “Switch subscription” option, Rho will automatically match it to a subscription carrying the same name as the Vendor card. Managing Vendor Cards All your Vendor Cards appear under the Vendor Cards tab within the main Cards dashboard. From here, you can: View card status and transaction history Adjust card settings Manage card sharing and controls Deleting Users or Vendors If the user who created a Vendor Card is removed, you will be prompted to delete the card. Similarly, if a Vendor profile is deleted, all linked Vendor Cards will be canceled.

Understanding The Card's Info Page

This page lists all of the spending, credit, and transaction details about the selected Rho Card and is displayed when you select a specific Rho Card from the All Cards tab. Card Configuration To edit the settings for the card, click the Card Configuration button. For more information about Card Settings, see Updating your Card Settings . Unlock, Lock or Cancel a Card From the Card Details page you can activate or deactivate your Rho Card using the Unlock/Lock Card feature. To activate a Rho Card that is currently inactive, click the three dots ( ⋯) and select Unlock Card . The Rho Card is now listed as Active and can be used for transactions. To deactivate a Rho Card that is currently active, click the three dots (⋯) and select Lock Card . The Rho Card is now listed as Locked , and can no longer be used for transactions. To cancel your Rho Card, click the three dots (⋯) and select Cancel Card . The Rho Card is canceled, and can no longer be used for transactions. If you're canceling a virtual card, you will have an option to cancel and transfer your card subscriptions to a new Rho card. Note: Once you've canceled your Rho Card, it cannot be reactivated. View Card Details Cardholder Name: The name is associated with the Rho Card. Billing Address: The address and zip code to enter on your card purchases. Card Type: Whether the Rho Card is a physical card or a virtual card. CVV (only for virtual cards): The card verification value (CVV) for your Rho Card. Expiration Date (only for virtual cards): The date when the Rho Card is scheduled to expire. Card Number (full number only for virtual cards): The full Rho Card number that is entered for all transactions. Transactions The Card Details page includes a table that displays the most recent transactions for your Rho Card. To view all transactions for the table, click the View All button.

Understanding The All Cards Page

The All Cards page displays a list of all active, inactive, and canceled Rho Cards that have been issued for any member of your business. This page can only be viewed by users with an Admin or Bookkeeper role. The All Cards page features a customizable table that can be altered to display specific values or card information categories. To view details for a specific Rho card, select the card from the table to open its Card Details page. For more information, see Understanding the Card Details page . Table Actions Filter Click the Filter icon to display the values you can filter for. Click your desired value and enter the relevant type or name you would like to view. Columns Click the Columns icon to create a New View . In the pop-up window, you can select which fields you’d like to display—such as Cardholder, Total Spend, or Card Limit. Once created, this view will add customized columns to your Cards page for easier navigation. You can switch to this view at any time. Search To search for a specific card name, click the Search field and enter the desired search term. Note: By default, when a Rho Card is created, the Card Name is the first and last name of the user who is assigned the card. Bulk Select Bulk select cards by clicking the box on the far left of your desired card line. Once cards are selected, click the Add to a Department button in the left corner to assign them to a specific Department. My Cards tab On the My Cards tab, the following details are viewable, either from the table or from Card Details : Card Name: The name of the card. By default, the card name is your user name. To change the card name, see Can I change the name on my Rho Card? Last 4: The last four digits of the card. Status: The current status of the card ( Active , Inactive , or Cancelled ). Department: The department assigned to the Rho Card. To change the department assigned to the card, see How to Assign a Card to a Department . Spend Account: The checking account assigned to the card. All transactions using the card are paired with this account. Currently, cards can only pair with funds from the Rho Primary Checking account for your organization only. Card Type: Lists whether the Rho Card is a physical card or a virtual card. Spend Limit: The maximum amount of money that can be spent using the Rho Card, if specified. Period Spend: The amount of money spent using the Rho Card during the current period.

Understanding Rho Card Controls

All Rho Cards can be set up with custom controls to prevent fraudulent, out-of-policy, or unexpected spending before it happens. Here are the controls you can set up for your Rho Cards: Set monthly spending limits When you create a new Rho Card, you have the option to set a monthly spending limit. That means that any transaction that would exceed the monthly limit will be declined. Monthly card limits reset on the 1st of each month. The card limit can be changed in your Card Settings ( here's how ). Note : If you have a user limit, your card limit cannot exceed that amount. User limits are set by Admins and Account Owners. Learn more about user limits here . Billing and shipping address By default, billing addresses for Rho Cards are set to your organization's billing address. However, you can set a different billing address for each Rho Card. For the majority of cases, using your organization’s billing address on file won’t cause any issues. However, some merchants may decline card transactions when the shipping address doesn’t match the billing address. To avoid these declines, you can add a different billing address to your card. Merchant-level controls Merchant-specific controls : You can limit a card's acceptance to a group of up to 20 distinct merchants. This means the card will only be accepted at those merchants, and transactions at merchants not on that list will be declined. Merchant category controls : You can limit a card's acceptance to specific merchant categories (ex. Advertising Services, Airlines, Grocery Stores), which are set by Mastercard, the network partner for Rho Cards. You can also set merchant-level controls at the company level. See more here . International Spend By default, all Rho Cards have international spending enabled, meaning the card will go through for all transactions outside of the US. This can be toggled off and on at any time. Fixed spending limits To set a one-time limit for a virtual Rho Card, select Fixed in the Card Limit Type field. This means that the card can only be used up to a certain dollar amount. Note: the limit cant be changed once the card is created. To set a one-time usage limit for a virtual Rho Card, select Single-Use. Note: the limit cant be changed once the card is created. Card Usage Dates You can set up custom active dates for your card, meaning that it can only be used between specified days. Note : By default, all Rho cards expire 3 years from issue date. Accounting Automation You can configure accounting automation settings for physical cards to help streamline reconciliation and categorization of transactions. Understanding Mastercard Easy Savings

What are Mastercard Easy Savings? As part of the Mastercard World Elite Business program, Rho customers earn cash-back at participating merchants through Mastercard Easy Savings . This is on top of Rhos cashback rewards. Through Mastercard Easy Savings, you'll automatically receive cash-back on qualifying advertising, technology, travel and entertainment purchases. Participating merchants include Avis, Budget, Dropbox, Squarespace, and Snapchat. Youll also earn 4% back at more than 20, 000 restaurants across the country such as Chopt and hotels including Days Inn and Holiday Inn. Cash-back rates range from 1% to 25%. There is no annual limit on Easy Savings rebates though some limits may apply at individual merchants' discretion. How will the cash-back appear in my account? Cash-back will be credited to your account by Mastercard 1-5 business days after your purchase settles, from Master Card Load (see example below). For monthly term card account-holders, Easy Savings rewards will appear in your credit account. For daily term card account-holders, rewards will be credited to your card balance. Note : Rho does not provide rental car insurance and other specific benefits directly. However, they may be available through Mastercard. Understanding Card Cashback

With your Rho cards, you will earn cashback on all eligible purchases, depending on your terms. For our Rho card with daily terms, cashback will be posted in one lump sum, typically on the 6th business day of the month, for card spend during the preceding month. For example, cashback you earn in June will typically be credited in one payment in the first week of July. All cashback payments will be credited to your Rho Rewards checking account. Additionally, for accounts on our daily term card program, there is no minimum spend needed to accrue cashback. Accrued rewards for our extended card programs are automatically deposited into your Rewards Account, typically 6 business days following full repayment of the statement balance. At this time, the Cashback Rewards Program will limit your eligibility to receive cashback rewards from the following merchants and merchant categories: 1. Walmart Inc., and its affiliates and subsidiaries; 2. Merchants that offer Utilities as a product or service and are designated as such based upon Mastercards Merchant Category Codes (Mastercard MCC Codes) 3. Merchants that offer money transfer services, digital payments, and/or quasi-cash and are designated as such based upon Master Card MCC Codes and 4. Transactions conducted or authorized in non-U.S. jurisdictionsAs part of the Mastercard World Elite Business program, Rho customers also earn cashback at participating merchants through Mastercard Easy Savings . The Rho Card With Monthly Terms

Rho offers a corporate card program with two distinct repayment options to meet your business's needs. Your account comes with a default Daily Terms plan, and you can also apply for a Monthly Terms option for greater flexibility. Daily Terms: Maximum Cashback By default, Rho clients can access up to cashback.default cashback on their spend with next-day repayment terms. This option is ideal for businesses that prioritize maximum cashback rewards and have the cash flow to support daily repayments. Monthly Terms: Greater Flexibility For businesses seeking more flexibility in their cash management, Rho provides a Monthly Terms option. This plan offers: 1% cashback on all domestic spend 30-day billing cycle + 1-day repayment period Automatic balance repayment at the end of the cycle, with an option to repay from your Rho checking account or an external account To qualify for the Monthly Terms corporate card program, businesses are required to maintain a minimum cash balance of $75,000. How to Apply for Monthly Terms: You can apply through the Rho platform: Go to your Cards tab from the Navigation Bar Select the Credit Information tab Start the application process Upon submission, Rho's dedicated department will review the application. The approved credit limit is personalized based on the business's financial health and other relevant factors. Additional Considerations: As part of the application process, Rho may request read-only access to the business's primary bank accounts. This allows Rho to gather relevant information about banking activity outside of the Rho platform. It's important to note that all applications are subject to approval, and terms and conditions apply. Rho's team is available to assist with any questions or help in connecting external accounts for repayment purposes. By offering both Daily and Monthly Terms, Rho provides businesses with the flexibility to choose a repayment structure that best aligns with their cash flow needs and financial goals. Note: Rho does not pull any personal credit reports and, conversely, does not report business card activity to personal credit reports. The Rho Card gives businesses the ability to maximize Cashback Rewards , while maintaining total control over daily card spend. The limit is determined based on a combination of your available checking balance as well as risk factors that vary by client. As your available checking balance varies over time, this limit is not a static limit over time. Learn more about the Rho checking account here . Keep reading to learn more about how the Card program works. Getting started To begin using your Card, please take the following steps: Fund your account (follow these steps to fund your account). Your daily limit is based on a combination of your available checking balance and various risk factors. As such, do ensure that you have sufficient available checking balance to support your companys intended spend. Create Rho cards to start spending. Viewing Card Transactions The Rho Cards Tab holds all itemized card activity. Your credit repayment transfers made from your Rho checking account can be seen in the Banking Tab. Payments Payments are automatically debited from your Rho checking account just after midnight EST for that days activity. Daily auto-repayment amounts are for the total amount of settled charges from the prior day For example: Monday's charge period begins at 12: 01 am EST Monday morning and lasts until midnight Monday night. The repayment for Monday's charges follows. Then Tuesday's charge period begins at 12: 01 am EST on Tuesday. Credit Dashboard Recent Activity After navigating to the Cards Tab, your Overview page displays the most recent activity of all of your Rho Cards including your credit balance dashboard. Current Balance : the sum of settled card transactions, minus repayments made. Pending Charges : a total sum of the charges that have been initiated but not yet settled (approved or denied) by the merchant, regardless of the day in which they were initiated. NOTE: Pending Charges are subtracted from your available credit. The sum of pending charges will carry over to your following spend period until the time the charges are settled by the merchant. Once the charges settle the funds will be accounted for in your Current Balance. Credit Payments The Card Repayments are separated in a tab under Cards → Transactions , next to recent activity. Here you will be able to view historical, in-progress, and upcoming repayments. This section includes drawers with full details such as credit release ETAs and reasons for delays, if any. Statements Accounts on our card program receive monthly summary card statements on the 5th of each month. For more information, see Viewing Statements. Rho Card charges can also be downloaded to CSVs in addition to Rho Card statements that will populate in your Rho Documents Tab.
