Ask whether the connection is a feed or a native sync. A feed delivers transaction lines for you to categorize and match. A native sync connects the card platform and the accounting software directly.
Look at what arrives without retyping. The transaction, the account it is coded to, the receipt, and the approval record should all reach your books. Steps that stay manual are where month-end cleanup comes from.
Match the connection to your accounting software. Rho has native integrations with QuickBooks Online, NetSuite, and Sage Intacct, and a bank feed connection to Xero. Rho has no subscription, per-user, or platform fees.
Corporate cards integrate with accounting software by sending card transactions into your general ledger, and the connection type decides how much of the coding and receipt work still happens by hand. The two common connection types are a bank or card feed and a native sync. Rho has native integrations with QuickBooks Online, NetSuite, and Sage Intacct, and a bank feed connection to Xero. Rho has no subscription, per-user, or platform fees.
If you are asking which corporate card integrates with QuickBooks, Rho is one option, through a native QuickBooks Online integration. The rest of this guide explains how the connection works, what to ask any card provider, and what to expect in each accounting system.
How does a corporate card connect to accounting software?
Every integration moves the same four things from the card platform to your books: the transaction, the account it should be coded to, the receipt, and the approval record. The difference is how many of those arrive without anyone retyping them.
A cardholder swipes the card or pays online.
The card platform records the transaction and asks for a receipt and a category.
The transaction is coded to a general ledger account, plus any class, department, or location your books use.
The coded transaction posts to your accounting software.
Finance matches the posted entry against the card statement and closes the period.
Steps 2 to 4 are where integrations differ. A weak integration leaves them to a person. A strong one handles them in the flow of spending.
What is the difference between a feed and a native sync?
There are two common connection types.
Bank or card feed. Transactions appear in your accounting software as bank-style lines that you then categorize and match. Coding and receipts are typically handled afterward, inside the accounting software. Rho connects to Xero through a bank feed.
Native sync. The accounting software connects directly to the card platform, rather than through a bank-style feed. Rho has native integrations with QuickBooks Online, NetSuite, and Sage Intacct.
For a side-by-side of how different card platforms handle each connection, see our guide to corporate credit card expense management software.
How does GL coding work with a corporate card?
General ledger coding assigns each transaction to the right account in your chart of accounts. Most teams want more than the account. They also want a class, department, location, or project so reports split the way the business runs.
Coding happens in one of three places: the cardholder codes it at the time of purchase, the card platform suggests it from past patterns and a finance reviewer approves it, or the bookkeeper codes it later in the accounting software. The earlier it happens, the less month-end cleanup you carry.
Rho's mobile app supports receipt upload with OCR and accounting coding.
How do receipts attach to card transactions?
A receipt is the evidence behind an entry. In a good integration, the receipt is attached to the transaction in the card platform and the attachment follows the transaction into the accounting software, so an auditor can open the entry and see the document.
Look for three things: capture by photo, email, or upload at the time of purchase; matching of the receipt to the right transaction; and attachment visible inside the ledger entry. If receipts live only in the card platform, your accountant has to switch tools to find them.
How does reconciliation work after the sync?
Reconciliation confirms that what your books show matches what the card issuer says you spent. With a bank feed, you match each line in your accounting software yourself.
Either way, reconcile the card's statement balance against the card liability account in your books at the close of each period. For a step-by-step process, read our guide to corporate card reconciliation.
What should you ask a card provider about accounting integration?
Use these questions in any vendor evaluation:
Is the connection native, or a bank feed?
Is there a subscription, per-user, or platform fee for using it?
Which accounting editions are supported (for example, QuickBooks Online versus Desktop)?
Can transactions carry class, department, location, or project coding?
Do receipts travel with the transaction into the ledger?
What triggers a sync, and what happens when a sync fails or an entry is edited in the books?
Who can approve or change coding before it posts?
Can I set it up myself, and where are the setup instructions?
QuickBooks Online
Rho has a native QuickBooks Online integration.
What to confirm in your own books before you connect: that you are on QuickBooks Online and not Desktop, that your chart of accounts is clean (merge duplicates and retire unused accounts first), and whether you track classes or locations and need them on card spend.
Setup steps are in the Help Center: How to link Rho to your accounting software. Learn more on the Rho QuickBooks integration page.
NetSuite
Rho has a native NetSuite integration. NetSuite books are usually more structured than a small-business ledger, with subsidiaries, departments, classes, and locations. Before you connect, decide which of those segments card spend must carry, and who owns the mapping.
Because NetSuite setups vary widely between companies, involve your NetSuite administrator when you connect and test with a small batch of transactions first. See the Rho NetSuite integration page and the Help Center setup guide linked above.
Xero
Rho connects to Xero through a bank feed.
See the Help Center Xero setup guide: How to set up Rho's Xero integration (a bank feed connection) and the Rho Xero page.
Sage Intacct
Rho has a native Sage Intacct integration. Sage Intacct books typically use dimensions such as department, location, class, and project to slice reports. Decide which dimensions card spend needs before you connect, so the mapping is built once.
Note that "Sage" is also the name of other Sage products. Rho's native integration is with Sage Intacct. See the Rho Sage Intacct page.
Which accounting software works with which Rho connection?
Accounting software | Connection type with Rho |
|---|---|
QuickBooks Online | Native integration |
NetSuite | Native integration |
Sage Intacct | Native integration |
Xero | Bank feed connection |
How to choose
If your books are in QuickBooks Online, NetSuite, or Sage Intacct, a native integration is available with Rho. If your books are in Xero, Rho connects through a bank feed. In either case, confirm any subscription, per-user, or platform fees with every provider you compare.
Rho is available to US-incorporated businesses. Sole proprietors and unincorporated businesses are not eligible. Ready to see it in your own books? Explore Rho Corporate Cards.
